Host Agreement & Terms of Service.

This page explains expectations, responsibilities, safety terms, booking requirements, venue rules, liability limits, payment disputes, and event conduct for Build-A-Bong events.

1. Parties to This Agreement

This Host Agreement and Terms of Service is between Pixie’s Pantry, referred to as “Pixie’s Pantry,” “Company,” “we,” “us,” or “our,” and the person, business, venue, organization, or representative booking or hosting the event, referred to as “Host,” “you,” or “your.” Participants, guests, attendees, customers, vendors, and other individuals attending or taking part in the event are also expected to follow all applicable event rules and safety requirements.

2. Event Description

Build-A-Bong events are interactive, hands-on creative workshops where participants assemble, customize, or select glassware, water pipe hardware, accessories, and related components from available inventory and upgrade options.

  • Build-A-Bong and Build-A-Rig workshops.
  • DIY glassware experiences and themed build bars.
  • Hardware education and product education.
  • Retail activations, dispensary pop-ups, smoke shop pop-ups, vendor events, festivals, private parties, birthdays, group events, fundraisers, and community events.

Specific inventory, colors, styles, themes, components, prices, and upgrade options may vary by event.

3. Hardware-Only Statement

Pixie’s Pantry is a hardware, accessories, education, and event company. Pixie’s Pantry does not sell, provide, distribute, gift, handle, transport, or promote the on-site use of cannabis, THC products, controlled substances, nicotine, tobacco, alcohol, or illegal substances at Build-A-Bong events.

Our events are focused on glassware assembly, hardware education, creative customization, responsible product knowledge, design and theme experiences, event entertainment, and retail education.

4. No Consumption Policy

Unless specifically allowed by the venue and all applicable laws, Build-A-Bong events are not consumption events. Participants may not use the event as an opportunity to violate venue rules, state law, local ordinances, federal law, private property rules, or event staff instructions.

Pixie’s Pantry is not responsible for participant conduct before, during, or after an event. If unsafe, unlawful, or inappropriate conduct occurs, Pixie’s Pantry may stop the event, remove participants, or leave the location without refund.

5. Educational Purpose

Pixie’s Pantry may provide general education about hardware, accessories, product types, setup options, cleaning considerations, storage, glassware handling, or event-related products. Pixie’s Pantry does not provide medical advice, legal advice, healthcare recommendations, dosing advice, consumption instructions, diagnosis, treatment plans, or legal compliance opinions.

6. Booking Requirements

A booking is not confirmed until all required steps are complete. A confirmed booking may require a completed booking request, approval by Pixie’s Pantry, confirmed date and time, confirmed location, deposit payment, signed agreement if required, guest count estimate, event package selection, theme selection if applicable, travel approval if applicable, and venue permission if applicable.

Pixie’s Pantry reserves the right to decline any booking request for any lawful reason.

7. Host Responsibilities

The Host agrees to provide accurate booking information, confirm event date, time, and location, secure venue permission, confirm guest count expectations, communicate event rules to guests, provide safe and reasonable event space, provide access for setup and breakdown, ensure guests behave appropriately, pay all required balances on time, notify Pixie’s Pantry of changes as soon as possible, and follow all venue, local, state, and federal rules.

The Host is responsible for any permissions required from the venue, property owner, business owner, landlord, manager, or event organizer.

8. Venue Requirements

The event venue must provide safe, reasonable conditions for setup and participation, including safe access, adequate space, reasonable lighting, stable work surfaces, safe flooring, parking or loading access when possible, protection from severe weather for outdoor events, electricity if agreed or required, and permission for Pixie’s Pantry to operate.

Pixie’s Pantry may refuse setup or stop the event if conditions are unsafe, inaccessible, unauthorized, overcrowded, threatening, illegal, or otherwise unsuitable.

9. Age Requirements

Hosts are responsible for ensuring that all participants meet any applicable age requirements. Some events, products, venues, or themes may require age restrictions. For events involving minors, parent or legal guardian permission or supervision may be required, certain products or components may be restricted, additional waivers may be required, and Pixie’s Pantry may decline minor participation when appropriate.

10. Participant Conduct

Participants must behave respectfully and safely. Harassment, threats, violence, unsafe handling of glass, property destruction, theft, disruptive behavior, illegal activity, intoxicated or unsafe behavior, or refusal to follow staff instructions may result in removal without refund.

11. Inventory Availability

Inventory varies by event. Pixie’s Pantry will make reasonable efforts to provide selected themes, requested colors, build options, and upgrade choices, but specific items are not guaranteed unless confirmed in writing. Pixie’s Pantry may substitute comparable items when needed.

12. Product Variations

Product photos, sample builds, social media examples, catalog pages, flyers, and promotional images are examples only. Actual event inventory may vary in color, size, shape, pattern, accessories, packaging, theme materials, and upgrade availability. Each build experience is unique and small variations do not qualify for refunds.

13. Pricing, Packages & Upgrades

Base event pricing, per-person pricing, dual setup pricing, upgrades, add-ons, travel fees, custom theme fees, and product options may vary by event. Pricing may depend on guest count, build type, theme, location, travel, inventory, upgrade selections, special requests, setup complexity, and event duration.

The Host is responsible for reviewing and approving pricing before the event. Additional upgrades selected during the event must be paid before the participant receives or uses the upgrade.

14. Deposits, Rescheduling & Cancellations

Deposits, refunds, credits, cancellations, rescheduling, no-shows, weather delays, and guest count changes are governed by Pixie’s Pantry’s separate Deposit, Rescheduling & Booking Policy. By booking an event or paying a deposit, the Host agrees to that policy.

15. Damage & Breakage

Glass products are fragile. Participants acknowledge that breakage may occur during handling, assembly, transport, packaging, display, event participation, guest handling, or use after the event. Pixie’s Pantry is not responsible for damage caused by participants, guests, hosts, venues, transportation after purchase, misuse, mishandling, or failure to follow instructions.

16. Personal Property

Pixie’s Pantry is not responsible for lost, stolen, misplaced, or damaged personal property. Participants are responsible for their own belongings, including phones, bags, wallets, keys, clothing, personal accessories, and completed builds after they are received.

17. Setup & Breakdown

Hosts must provide reasonable access for setup, operation, and breakdown. Delays caused by the Host, venue, crowd, parking, access issues, or lack of preparation may shorten the event time. Pixie’s Pantry is not required to extend the event due to host-caused delays.

18. Travel & Mobile Events

Mobile events may require travel fees based on mileage, drive time, fuel, parking, loading difficulty, staff needs, event duration, and overnight accommodations if needed. If the event location changes after booking, travel fees and availability may change.

19. Photography & Media Release

Unless otherwise agreed in writing, Pixie’s Pantry may photograph or record public-facing portions of the event for promotional, educational, archival, or marketing purposes. Guests who do not want to be photographed should notify Pixie’s Pantry before or at the beginning of the event. Hosts are responsible for communicating photography concerns before the event begins.

20. Participant-Generated Content

Participants who voluntarily tag, post, share, review, message, or submit content related to Pixie’s Pantry or a Build-A-Bong event grant Pixie’s Pantry permission to repost, share, or reference that content for promotional purposes unless they specifically request otherwise.

21. Reviews & Testimonials

Pixie’s Pantry may use voluntary reviews, testimonials, public comments, or submitted feedback for marketing purposes. Pixie’s Pantry may shorten or format testimonials for clarity but will not knowingly change the meaning of the customer’s statement.

22. Safety

Participants must follow all safety instructions provided by Pixie’s Pantry, including handling glass carefully, keeping work areas clear, reporting broken glass immediately, keeping children, pets, or non-participants away from the setup area if needed, and using reasonable care when transporting completed items. Failure to follow safety instructions may result in removal without refund.

23. Assumption of Risk

Participants acknowledge that events involving glassware, accessories, craft materials, tables, tools, packaging, and handling activities involve some risk. Risks may include minor cuts, broken glass, dropped items, pinched fingers, allergic reactions to decorative materials, slips or trips, property damage, and general event-related accidents. By participating, each participant voluntarily assumes the risks associated with normal workshop activities.

24. Allergies & Sensitivities

Hosts and participants are responsible for notifying Pixie’s Pantry in advance about serious allergies or sensitivities. Events may include or be near fragrances, stickers, adhesives, packaging, cleaning products, hemp wick, decorative materials, latex or latex-adjacent materials, plant-themed accessories, dust, or residue from packaging. Pixie’s Pantry will make reasonable efforts to accommodate known concerns but cannot guarantee an allergen-free environment.

25. Accessibility

Pixie’s Pantry will make reasonable efforts to support accessible event participation when notified in advance. Hosts should communicate accessibility needs before booking or as soon as possible. Venue accessibility remains the Host’s responsibility unless otherwise agreed.

26. Prohibited Items & Conduct

Pixie’s Pantry may prohibit items or conduct that create risk, confusion, or legal concerns, including bringing illegal substances into the event, selling unauthorized products, misrepresenting Pixie’s Pantry products, harassing staff or guests, damaging displays, tampering with inventory, creating unsafe conditions, using Pixie’s Pantry materials without permission, or recording staff in a harassing or misleading manner.

27. Third-Party Venues & Partners

Events may occur at third-party venues, businesses, dispensaries, retail locations, markets, or private properties. Pixie’s Pantry is not responsible for venue policies, venue staff conduct, venue cancellations, venue safety issues, venue accessibility failures, parking problems, third-party advertising errors, host-provided information, or guest conduct controlled by the venue.

28. Partner & Waived Deposit Events

For approved partnership events, Pixie’s Pantry may waive or reduce certain deposits in exchange for agreed promotional and operational support, including space, electricity if needed, setup permission, promotion, social media support, referrals, permission to display business cards, flyers, QR codes, and booking materials, safe access, a reasonable audience, and clear communication.

29. Intellectual Property

Pixie’s Pantry owns or controls its event concepts, page copy, flyers, templates, signs, educational materials, business materials, branding, photos, written guides, and original event systems unless otherwise stated. Hosts and participants may not copy, resell, reproduce, redistribute, or commercially use Pixie’s Pantry materials without written permission.

30. Independent Contractor & No Partnership

Booking or hosting an event does not create a legal partnership, franchise, employment relationship, joint venture, or agency relationship between the Host and Pixie’s Pantry. Partnership events are promotional collaborations only unless a separate written agreement states otherwise.

31. Force Majeure

Pixie’s Pantry is not liable for delays, cancellations, or failure to perform caused by events beyond reasonable control, including severe weather, tornadoes, flooding, hurricanes, fires, power outages, natural disasters, road closures, vehicle problems, public emergencies, government action, venue closure, illness or medical emergency, supplier failure, shipping delays, safety threats, or transportation interruptions. Pixie’s Pantry may offer rescheduling when practical.

32. Limitation of Liability

To the maximum extent permitted by law, Pixie’s Pantry, its owners, staff, contractors, volunteers, partners, affiliates, representatives, and service providers are not liable for indirect damages, incidental damages, consequential damages, lost profits, lost opportunities, personal property loss, participant negligence, venue issues, host failures, third-party conduct, emotional distress, business interruption, event disappointment, or product misuse after the event. Pixie’s Pantry’s total liability for any claim shall not exceed the amount paid directly to Pixie’s Pantry for the affected event.

33. Release of Liability

By participating in or hosting an event, the Host and Participants release Pixie’s Pantry and its owners, staff, contractors, volunteers, affiliates, representatives, and partners from claims arising out of ordinary event participation, participant conduct, host conduct, venue conditions, product handling, or completed product use after the event. This release does not waive rights that cannot legally be waived.

34. Indemnification

The Host agrees to defend, indemnify, and hold harmless Pixie’s Pantry and its owners, staff, contractors, volunteers, affiliates, representatives, and partners from claims, damages, costs, expenses, or losses arising from host negligence, venue problems, unsafe event conditions, participant misconduct, host misrepresentations, failure to obtain venue permission, violation of applicable laws, unauthorized consumption, third-party claims, property damage caused by guests, or failure to follow these Terms.

35. Chargebacks & Payment Disputes

By submitting payment, the Host acknowledges that booking services begin immediately, including reserving the date, communicating with the host, preparing event plans, reserving inventory, coordinating staff, reviewing travel, preparing materials, and declining other bookings. The Host agrees to contact Pixie’s Pantry directly to resolve payment concerns before initiating a dispute.

Pixie’s Pantry may provide booking records, invoices, communications, signed documents, preparation records, and event evidence to payment processors in response to disputes. Fraudulent or bad-faith chargebacks may result in cancellation of future bookings, collection efforts, or recovery of costs where allowed by law.

36. Refunds

Refunds, credits, cancellations, deposits, and rescheduling are governed by Pixie’s Pantry’s Deposit, Rescheduling & Booking Policy. Deposits are generally non-refundable because planning work begins immediately. Refunds are not guaranteed unless required by law or specifically approved in writing.

37. Changes to Event Details

The Host must notify Pixie’s Pantry as soon as possible if any event details change, including date, time, location, guest count, venue rules, theme, package selection, host contact information, setup access, or travel needs. Changes may affect pricing, availability, deposit status, inventory, or whether the event can proceed.

38. Modifications to These Terms

Pixie’s Pantry may update these Terms from time to time. The version in effect at the time of booking generally applies to that booking unless a newer version is accepted in writing or required for safety, compliance, or operational reasons.

39. Severability

If any part of these Terms is found invalid, unlawful, or unenforceable, the remaining sections remain in effect.

40. Governing Law

These Terms are governed by the laws of the State of Mississippi, without regard to conflict-of-law principles. Any disputes shall be handled in the appropriate courts located in Mississippi unless another venue is required by law.

41. Entire Agreement

These Terms, together with the Deposit, Rescheduling & Booking Policy, any signed Host Booking Agreement, participant waivers, invoices, quotes, and written event-specific terms, form the agreement between Pixie’s Pantry and the Host. If there is a conflict between general website language and a signed event-specific agreement, the signed event-specific agreement controls for that event.

42. Acceptance

By booking an event, paying a deposit, purchasing a ticket, reserving seats, approving an invoice, hosting Pixie’s Pantry, attending an event, or participating in a Build-A-Bong event, the Host and Participants acknowledge that they have read, understood, and agreed to these Terms and all related event policies.

By signing below, the Host acknowledges that they have received, read, understood, and agreed to Pixie’s Pantry’s Build-A-Bong Event Host Agreement & Terms of Service. The Host confirms they are authorized to book the event, provide venue access, communicate rules to guests, and accept responsibility for host obligations described in this Agreement.
